Urbanisation Sol Golf 1 phases 1 & 2 Committee meeting 26th August 2008
A meeting was held at at the offices of the Administrators Cabo Roig at 11.30 am on the 26th of August 2008. Present were Denise Brown (President) Victor and Lesley Callaghan-Smith (Vice President 1) Sue Davidson (Vice President 2) and the Administrator Helene and Salva. Other Officials were either in the U.K. or unavailable apologies accepted.
Items on the agenda 7.
1. O.S.C.I. have a system where they pay for all outgoings, not on bank transfer and under a certain sum allowing the Community to make out one cheque and therefore save on bank charges. A record of all these expenses was produced and a cheque duly signed to cover these. An up to date balance sheet was given to each Official present, and a hard copy of this is available to any owner who calls at no 5 phase 1.
2. A bill for weed killer, applicator and cutters was handed to O.S.C.I for future payment. These items have been purchased to allow Officials and other owners weed internal walkways/overhanging trees/private gardens and now belong to the Community of Owners. Any owner wanting to use them please call at no 5 phase 1.
3. A second bill for the six umbrella stands purchased after a suggestion by an owner was also handed to O.S.C.I. This purchase has been covered by the sale of 2nd pool keys to owners or guests who required more than one and will be reflected in the end of year accounts.
4. A direct debit form was handed into O.S.C.I. and the subject was discussed. We need more owners to pay by direct debit as this is the easiest and most cost effective payment method.
5. The list of the remaining 17 debtors was looked through and the figures agreed.
2 properties are understood to be handed back to the bank and the Administrators
are looking into this.
2 Belong to Banesta and they have sent notice of intention to pay in September
2 Have forwarded bank details to the Administrators for them to collect payment.
1 Is subject to court action between buyer and seller and we will have to wait
judgement on this.
2 Have agreed to pay in September.

1 Is paying in instalments agreed by the last President.
1 We are having to wait until the next A.G.M. to state in the minutes that we are
taking court action
5 Have signed or are in the process of signing direct debit mandates (the Spanish
equivalent)
Hopefully by the next A.G.M. 6th December 2008 these debts will be substantially less.
6. The problem with unkempt private gardens was discussed next, and Helene is once again to come to the Urbanisation to go round with Denise and take photographs to send to the owners. A time will be set to tidy up these gardens and if this is not done the Community will have the work done and the bills sent to the owners. This scheme is working as past bills are now being paid and owners are taking responsibility for their own gardens in the main. The condition of the pool at no 49 phase 2 has been noted and reported to the owner. This is (we are informed by the owner) to be emptied and cleaned at the beginning of September.
7. The last item on the agenda was the agenda for the 5th Annual General Meeting 6th December 2008. The venue and time was discussed and it was agreed to ask the owners of the Havana Bar Villamartin if we could hold the meeting there as we did last year.
Much of the agenda has been written already but spaces are left for more owners to contribute. It was agreed that for this next year at least, tenders for Administration and for Pool Maintenance would not be sort as for the first time in four years the Officials had not experienced any problems with either. They have also received comments from owners about the professionalism of both these Companies. Of course as is the norm on Sol Golf 1 phases 1 & 2 if an owner proposed a change it would be put to the vote. It was also established that unlike previous years, the debtors list, the accounts and the projected budget would be printed so all owners understood it and it could clearly be seen where monies had come in and gone out.
Lastly, although not on the agenda the problem with feral cats was discussed. Thanks to Leslie and Vic we now only seem to have one female cat on the urbanisation able to breed young. This cat has lived on the Urbanisation for over two years and has delivered at least three litters. Leslie and Vic have paid for most of these kittens to be spayed and re-homed. It is feared that this cat is to produce yet another litter, and plans have been made with a local charity to have the cat captured and spayed. This is a necessity as this cat keeps breeding, and we are to pay the much reduced vets bill of approx 65 euros to rid the urbanisation of this problem. It is then hoped that the cat can live out the rest of its days on Sol Golf.
